We process personal data to enable the collaboration with partners, prospective partners, suppliers and to recruit new employees and maintain records for existing employees.

  • Information about the individual’s role with the business (including name of the business, title, professional responsibilities and functions, office location)
  • Professional social media profile information
  • Employee details: name, address, contact details, next of kin details, health details, bank details & photo identification 
  • Job applicants name, address and contact details

HOW WE GET THE PERSONAL INFORMATION AND WHY WE HAVE IT 

Most of the personal information we process is provided to us directly by you or a colleague within your organisation to enable us to collaborate.

We also receive personal information indirectly from our website via:

  • The use of the ‘Contact Us ‘page. This information is limited to name and email address and made available to employees only.
  • Website cookies. Please refer to our separate Cookie Policy.

THE LAWFUL BASIS WE RELY ON FOR PROCESSING THIS INFORMATION 

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information are: 

1. Contract: the processing is necessary for a contract or agreement we have with you, or to enable appropriate levels of engagement leading up to a potential contract or agreement.

2. Legitimate interests: the processing is necessary for our legitimate interests or your legitimate interests. The data will be processed in ways you would reasonably expect and have a minimal privacy impact.

HOW WE STORE YOUR PERSONAL INFORMATION 

Your information is securely stored and deleted once it has reached the end of its retention period.

  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
  • Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
